Scheduling Modes & Phases in CLSS
What is a Mode?
Modes in CLSS determine how changes to the course schedule are processed and saved. There are two modes as outlined in the below table.
Design Mode |

Refine Mode |

What is a Phase?
Phases in CLSS define periods within the schedule planning and publishing timeline to support different stages in the process. Each phase controls what actions are available, and which course section form fields can be edited by users based on university scheduling policies and rules. Overview of phases are as follows in the below table.
Phase | Actions Available | Fields Editable by Phase |
---|---|---|
Plan | Create Section Edit Section | Course Section Form Fields |
Room Assignment | None | |
Pre-Publish | Create Section Edit Section | |
Publish | Create Section Edit Section | |
Open Registration | Create Section Edit Section | |
Semester Start | Create Section Edit Section | |
Post R+30 | Create Section Edit Section | |
Post-Registration | Create Section Edit Section | |

Schedule Validation & Starting Workflow in CLSS
Schedule validation is the process that checks the planned course section offerings against university scheduling policy rules to ensure efficient use of resources.
How to Validate and Submit a Scheduling Unit to Workflow
To check for errors, warnings, or required approvals, select ‘Validate’ at any time. A scheduling unit cannot be submitted until it is successfully validated. Follow the instructions below to validate and submit a scheduling unit to workflow.
- Go to the CLSS Instances screen
- Select the relevant instance
- Double-click to open the scheduling unit
- Select 'Validate'
- Choose one of the following:
- 'Close' to return and fix errors (only option if errors exist).
- 'Start Workflow' to submit for Dean's Office to review (if workflow is required).
Troubleshooting Errors
Some CLSS errors will require users to update the course section details before proceeding. CLSS uses three types of validation messages as outlined in the below table.
Error | An error message means the section cannot be saved in its current state. The message explains the issue and suggests how to fix it. The ‘Save As-Is’ and ‘Start Workflow’ buttons will be disabled until the error is resolved. Make the correction, then try saving again. |
Warning | A warning message means the section can be saved, but there may be potential issues. The message explains the concern and what to watch for. If only a warning is present, the ‘Save As-Is’ button will be available. Warnings do not require workflow or approval. |
Workflow | The Workflow message means the section can be saved but requires approval. The message explains why approval is needed. In Design Mode, workflow applies to the entire scheduling unit. Schedulers will see ‘Start Workflow’ after validating the entire scheduling unit. When saving an individual section, the workflow indicator appears, but ‘Save As-Is’ is available. In Refine Mode, each section must be sent through workflow individually using the ‘Start Workflow’ button. |
Classroom Assignment & Management
Room scheduling access in CLSS varies by phase, with specific permissions and tools like EMS Room Seek available to schedulers based on scheduling timelines and departmental priorities.
Classroom Priority
Certain departments are granted priority access to specific classrooms on campus, as determined by the Dean’s Offices. The Classroom Priority List identifies which departments receive scheduling priority for each room both before and after the room assignment phase of the semester scheduling process.
Room Scheduling Access by Mode/Phase
Review the room scheduling and access by mode/phase in the below table.
Design Mode |
|
Room Assignment Phase | The schedule is locked for edits while the Registrar's Office assigns rooms to any unassigned sections. |
Pre-Publish Phase | Schedulers regain access to department-controlled rooms and priority Registrar-controlled rooms using EMS Room Seek. |
